Kentucky Book Fair Volunteer Information

Kentucky Book Fair seeks volunteers

Numerous volunteers are needed to make the 36th Annual Kentucky Book Fair a successful event on Friday and Saturday, November 17-18, 2017, at the Alltech Arena at the Kentucky Horse Park, Lexington, KY. Sign-up information is now available below.

Volunteers may choose from several shift and work interest options: 

  • Thursday, Nov. 16 to help set-up at the Alltech Arena at the Kentucky Horse Park 8:00 am to 3:00 pm
  • Friday, Nov. 17, to help assist during the 7th Annual Kids Day from 7:00 am to 7:00 pm
  • Saturday, Nov. 18, the day of the Book Fair, to greet patrons, assist authors and be of other service from 7:00 am – 7:00 pm

All volunteers will receive a concessions voucher and a t-shirt while enjoying the company of many fine authors at the Kentucky Book Fair.

Volunteer Job Descriptions

Set-Up Team - (20 volunteers needed Thursday from 8:00 am - 12:00 pm, 10 volunteers needed Saturday morning 7:30 am - 9:30 am) 
These volunteers need to be able to perform tasks involving physical labor. They will set up and arrange tables and chairs for the event and move boxes of books to designated tables. They will also set up chairs in the two breakout rooms and the South Exhibit Hall.

Set-Up Book Setters - (20 volunteers needed Thursday from 10:00 am - 3:00 pm) 
These volunteers will will help unpack books and place books on the author's table, set up signage, set up different work stations, and prepare for Kids Day and Saturday Book Fair.

Kids Day Captains - (20 volunteers needed Friday from 8:30 am - 2:30 pm) 
These volunteers will need to be available from 8:30 am - 2:30 pm on Friday, November 17, 2017. Responsibilities include guiding groups of students from activity/location to activity/location. You will remain with your assigned group the entire day. While there are no steep staircases, you will need to be available to go up staircases and walk around the entire facility. Proper shoes and physical ability are required. All classes will be supervised by their teachers and chaperones.

Information Desk Volunteers and Volunteer Check-In - (3 volunteers needed Friday; 4 volunteers needed Saturday - 2 hour shifts) 
These volunteers will answer questions from attendees. Such information might include locations of events, as well as general inquiries (i.e price lists, times of events, location of rooms, first aid, restrooms, food, parking, etc.). Volunteers will also assist with Volunteer Check-In or other attendee needs as requested.

Cash Register Assistants (2 volunteers needed Friday; 6 volunteers needed Saturday - 3 hour shifts) 
These volunteers will help direct patrons to the cash registers as they become available and will bag the books for the cashier in order to keep the lines moving as fast as possible. You will not be handling cash or operating a cash register.

Author Wranglers - (4 volunteers needed Friday from 8:30 am - 2:00 pm; 6 volunteers needed Saturday in 4 hour shifts) 
These volunteers will be responsible for moving presenting authors from the sales floor to the location of the presentation in a timely fashion. Wranglers will work with Area Captains to ensure that all presentation materials (A/V, etc.) are in place and working properly.

Author Check-In - (6 volunteers needed Friday in 2 hour shifts; 8 volunteers needed Saturday - 2 hour shift)
These volunteers will greet authors upon arrival and provide them with Book Fair materials. They will help carry the author's books and personal items to his or her table. These volunteers must be able to lift boxes of books and/or use a dolly for boxes over 50 lbs.

Greeters - (12 volunteers needed Saturday in 3 hour shifts) 
These volunteers will welcome attendees at the entry doors, distribute catalogs and shopping bags, and hand out entrance stickers.

Receipt Checkers - (6 volunteers needed Saturday in 3 hour shifts) 
These volunteers will check receipts at the exits, thank patrons for attending, hand out bookmarks with next year's date and encourage patrons to come back next year.

Hospitality - (3 volunteers needed Friday; 6 volunteers needed Saturday - 3 hour shifts) 
These volunteers will check with authors throughout the shift to see if they need any assistance. These volunteers will also check with Area Captains throughout the shift providing waters to the authors and helping where needed.

T-Shirt Sales - (3 volunteers needed Friday; 6 volunteers needed Saturday - 3 hour shifts) 
These volunteers will sit at a table and sell event t-shirts.

Social Media Communicators - (3 volunteers needed Friday; 6 volunteers needed Saturday - 3 hour shifts) 
These volunteers will walk around the arena and communicate on Kentucky Humanities social media pages what is happening at the Book Fair. These volunteers should be comfortable using Facebook Live, sending Tweets and posting pictures on Instagram. They will take pictures of events happening throughout the day and post to social media.

Costume Characters - (9 volunteers needed Saturday - 2 hour shifts) 
These volunteers will dress up in "book-related" costumes that are provided (Cat in the Hat, Mama Berenstain Bear, and Brother Berenstain Bear) and walk around the Book Fair greeting children (and not-so-young children) and posing for pictures with them. Volunteers need to be 5'6" - 5'8" tall. Comfortable shoes and a fun personality are required.

Tear Down - (20 volunteers needed Friday 3:00 pm - 7:00 pm, 20 volunteers needed Saturday 4:30 pm - 7:00 pm) 
These volunteers need to be able to perform talks involving physical labor. They will be packing books and moving large boxes of books to a specified loading area. They will assist in removing and packaging signage. They will assist authors as they leave the building with books. On Friday these volunteers will be moving Children's and Young Adult Authors' books from one table on the main sales floor to another table for Saturday. They will be taking down chairs on the concourse to clear area for an evening event. This job also includes folding linens, repacking left-over supplies, taking down tables and chairs.
